01
Administrative Legal Assistant

Keep the front office and client follow-through moving.

A clear first point of contact for clients and a reliable administrative resource for your team. Assign the routine work that needs consistent attention throughout the day.

Client intake & first contact

  • Answer inbound calls and respond to initial inquiries using your firm’s guidance.
  • Gather contact details, family information and the reason for the inquiry.
  • Record intake answers and route legal questions to your attorney.

Lead follow-up & consultations

  • Follow up with prospects who have not scheduled or completed intake.
  • Book consultations, send confirmations and follow up on missed appointments.
  • Keep lead stages, contact attempts and next actions current.

Calendars & inboxes

  • Manage appointments, reminders and scheduling changes.
  • Organize designated inboxes and route messages to the right team member.
  • Enter dates supplied by your team and flag scheduling conflicts.

Client communication

  • Request missing forms, identification and supporting records.
  • Send appointment reminders and firm-approved progress updates.
  • Log calls and messages, and escalate urgent requests.

Files & case records

  • Open and organize electronic client files using your naming conventions.
  • Upload documents and maintain contact and matter information.
  • Track outstanding items and keep administrative checklists current.

Estate planning & probate administration

  • Send estate planning questionnaires and follow up on incomplete responses.
  • Collect records requested by your probate team and track what is still missing.
  • Coordinate signing appointments and document pickup or delivery as directed.
Where this role stops: Administrative support does not include substantive legal drafting, legal analysis or independent advice to clients. Legal questions and decisions go to your attorney; drafting and filing preparation belong in the paralegal scope.
02
Paralegal · Philippine-licensed attorney

Give your matters the hands-on legal support they need.

A licensed attorney serving in a paralegal capacity for your U.S. practice. Your firm sets the scope, supplies legal direction and reviews the work. Your paralegal handles the preparation, coordination and follow-through within that scope.

Client follow-up & matter coordination

  • Follow up with existing clients on outstanding information and documents for their estate planning or probate matters.
  • Organize family, beneficiary, fiduciary and asset information for attorney review.
  • Coordinate next steps with clients, attorneys and other paralegals.

Estate planning drafting

  • Prepare draft wills, trusts, powers of attorney and related documents within the agreed scope.
  • Work from your attorney’s instructions, approved templates and drafting platform.
  • Incorporate attorney revisions and check consistency across the document set.

Probate document support

  • Prepare draft petitions, notices and other probate forms from your instructions.
  • Organize asset and beneficiary records for inventories and accounting drafts.
  • Maintain matter checklists and flag missing information for your team.

E-filing & filing follow-through

  • Prepare filing packets, exhibits and attachments for attorney approval.
  • Submit approved documents where court rules and authorized access permit.
  • Track confirmations, rejections and filed copies; flag issues for resolution.

Client & team follow-up

  • Request information needed to progress drafts and filings.
  • Communicate attorney-approved updates and coordinate responses across the team.
  • Maintain a clear record of pending decisions, assigned tasks and next steps.

Document & deadline management

  • Organize working drafts, revisions and final approved documents.
  • Track attorney-confirmed deadlines and follow up on assigned tasks.
  • Flag discrepancies, incomplete instructions and items requiring legal judgment.
Your attorney directs the legal work. Drafts and filings are prepared for your firm’s review and approval. This is a paralegal support engagement; Philippine licensure does not represent U.S. bar admission. Legal advice, strategy and representation remain with your firm’s authorized attorneys.

Before you choose

Practical questions, answered.

Can the paralegal follow up with clients?

Yes. The paralegal can follow up with existing clients on outstanding documents, request matter-related information and share attorney-approved updates. Initial intake is handled by the Administrative Legal Assistant.

Why call a licensed attorney a paralegal?

The title describes the service delivered to your firm. The professional’s Philippine attorney qualification brings legal training to the work, while the engagement remains a supervised paralegal support role.

Can we start with part-time support?

Yes. Full-time is preferred for ongoing coverage and continuity, but part-time is available. We will agree on a schedule and scope that fit the support your practice needs.

Can they use our systems and templates?

The engagement is organized around your approved workflow. We confirm the software, court portals, templates and access requirements during scoping, including any training or permission needs.

Who handles attendance or leave concerns?

LexNavi manages attendance, leave coordination and personnel issues. Your firm remains the point of direction for assignments, matter priorities and work review.

Are all listed tasks included automatically?

The responsibilities show what each role can support. Your engagement defines the assignments, practice-specific requirements and available hours. Filing access and substantive work are confirmed with your supervising attorney.
